Fleet Management System
A fleet and maintenance management system built around how your operation actually runs — vehicles and heavy equipment, preventive maintenance, work orders, certificates, drivers and road safety in one place. Built in Oman by DuneByte LLC for industrial and field operations.
See it workingWhat a fleet management system has to do
Most fleets are not lost for want of a tracker. They lose units to a service that was never scheduled, a permit that quietly expired, a breakdown nobody costed, and a contractor invoice that arrives with no quotation behind it. A fleet management system earns its place when it holds all of that in one record and tells you before it becomes a problem — not after.
That is what we build: fleet management software for operators who run vehicles and heavy equipment in the field, where compliance is a legal obligation and a unit off the road is lost revenue.
What our fleet management software covers
Fleet register and live status
Every vehicle, trailer, tanker and item of heavy equipment on one register, with its category, division, location, meter history and current status — operational, in workshop, or down. Availability is a number you can see rather than one you reconstruct from a spreadsheet.
Preventive maintenance scheduling
PM schedules are set per unit and fall due on whichever interval arrives first: calendar months, calendar days, engine hours or kilometres. That matters because not every unit has an hour meter — a pickup should schedule on its odometer while a generator or prime mover schedules on running hours. Service packages carry their own task lists and material requirements.
Work orders, and the contractor who does the work
This is the part most fleet management systems leave out. If a third-party workshop maintains your fleet, the work order belongs to both of you. In our system the operator raises it, the contractor acknowledges it into their own job queue, prices it line by line as a quotation, and no work begins until the operator approves the rate and the amount. Both sides work in the same record with different rights over it, so the invoice never arrives as a surprise.
Certificates and compliance tracking
Permits, registrations and periodic inspections are held per unit with their expiry dates, and classified automatically as valid, expiring or overdue. A certificate register that computes its own state is the difference between knowing you have a problem and finding out at a checkpoint.
Drivers, assignments and meter readings
Driver records with licence and site-permit expiry, assignment history against units, and meter readings captured in hours or kilometres. Those readings are not decoration — they drive the maintenance clock and the utilisation picture.
Journey management and incidents
Journey plans with routes, loads, night-driving authorisation, a route hazard register and pre-departure checks. Authorisation is withheld until the unit and driver are fit to travel; a warning can be overridden with a reason that is kept, and expired documents cannot be overridden at all. Incidents are reported against the unit, investigated to a root cause, and closed out with actions.
Why custom, rather than off the shelf
Off-the-shelf fleet software assumes one company, one workflow and one way of counting things. Real operations have a contract with a maintenance provider, their own divisions and locations, their own service packages, and a compliance regime that is not optional. We build the system around those facts instead of asking the operation to work the way the software expects.
Fleet is one example of what we do. DuneByte LLC builds custom software for industrial and field operations generally — maintenance and workshop systems, field service, inspection and compliance tooling, and the operational workflows that sit between them.
Hosting and your data
Systems are deployed on infrastructure hosted in Oman, and your operational data stays in your own database. We do not resell it, and we do not put third-party tracking inside the systems we build for you.

Common questions
What is a fleet management system?
A fleet management system is the single record of the vehicles and equipment an operation runs: what each unit is, where it is, whether it is available, when it is next due for service, which certificates it holds and when they expire, who is driving it, and what work has been done on it. Its job is to surface the exceptions before they stop the job.
Can it manage a third-party maintenance contractor?
Yes, and that is the part we built deliberately. The operator raises the work order and approves the money; the contractor acknowledges it, assigns a technician, books parts and labour hours, and submits a quotation. Both sides work in the same record with different rights over it.
How is preventive maintenance scheduled?
Per unit, on whichever interval arrives first: calendar months, calendar days, engine hours or kilometres. Not every unit runs on an hour meter, so a truck can schedule on its odometer while a prime mover schedules on running hours.
Does it track certificates and inspections?
Yes. Permits, registrations and periodic inspections are held per unit with expiry dates and classified automatically as valid, expiring or overdue, so nothing depends on somebody remembering.
Is this an off-the-shelf product or custom software?
Custom. We build the system around your divisions, locations, service packages, contract and compliance regime rather than asking the operation to fit a fixed product. The fleet system is one example of what we build for industrial and field operations.
Where is the system hosted and who owns the data?
Systems are deployed on infrastructure hosted in Oman and your operational data stays in your own database. We do not resell it and we do not embed third-party tracking in the systems we build.
Can we try it before committing?
Yes. Get in touch and tell us what you want to see. Once one of the founders has read it, we arrange a walkthrough and can give you a working environment seeded with a realistic fleet to try yourself.
